Job description

As an Office Manager, you will play a key role in creating a positive and engaging work experience. As a true ambassador of Mantu, you will ensure the smooth running of office operations, support employees and clients, and embody our values of excellence and service.

Key Responsibilities

1. Office Experience

  • Provide a warm and professional welcome to employees, clients, and visitors.
  • Support HR teams during onboarding and offboarding processes.
  • Manage internal communication, mail distribution, and office information updates.
  • Plan and coordinate internal and external events.

2. Security, Emergency Management & Data Protection

  • Ensure compliance with Mantu’s data protection policies and standards.
  • Manage the access database and monitor security processes.
  • Report and handle security incidents.
  • Oversee fire detection systems, maintenance activities, and evacuation drills.

3. Cost Management, Services & Supplies

  • Ensure the availability of supplies and services necessary for the smooth operation of the office.
  • Manage supplier relationships and evaluate their performance.
  • Monitor and analyze the office P&L and budget to ensure cost control.
  • Oversee inventory of IT equipment (laptops, phones, etc.).

4. Facilities Management

  • Maintain a clean, safe, and functional work environment.
  • Support office layout and renovation projects.

5. Sustainability

  • Implement initiatives to reduce CO₂ emissions and limit energy and material waste.
  • Promote eco-friendly practices within the office.

Profile Sought

Your Background

  • University degree (Bachelor’s level minimum).
  • Fluency in French and English.
  • Strong motivation to grow in an international and dynamic environment.
  • Proficiency in Microsoft Excel.
